Pocket PC Warehouse Tutorial

This tutorial will help you to understand all the functions of the CSTA Pocket PC Warehousing. In order to run this effectively you need to have the CSTA-Financials client application up and running. However, if you downloaded the demo version from the website you don't need to install any additional software. On either case, you need to run the "Pocket PC Whs Install" topic before attempting to do this tutorial. 

1-Go to Start, Programs and Click on CSTA_Warehousing

2. Once the Program opens you are given three choices Shipping, Receiving, and Physical. This application is designed to run 100% online. Therefore, you need to be connected to the internet, have access to the intranet or have the device in the cradle.

3. The Shipping Function will allow you to ship a Sales Order. The Receiving function will allow you to receive merchandise in your warehouse. However, it will only affect the On Hand quantity and the transaction will need to be posted to reflect the AP amounts. Finally the physical function will allow you to change the quantities in an existing Inventory Adjustment transaction. You can search as far as 31 days back when doing any of these three functions.

Shipping

4. Click on the "Go" button with the "Shipping" choice selected. The Login Form will Open and you need to enter the User Name/Password in the Login tab and Web Services Address/Database Server/Database Name in the "Server Tab." Click "Login when you are finished.

                            

5. When the the shipping search windows open you need to select the number of days that you want to search back and click on the "Search" button.

6. Select one of the transactions displayed in the form and click on the "Edit" button

7. When a transaction is selected, the form is filled with all the items in that Purchase Order and the user is able to change most of the information.

8. Select the line item and enter the received qty in the Qty box. Hit Enter after doing that and the cursor will record that number and it will move to the next line

 

       

9. If you want to change the Qty, Price, Line Discount or Tax Percentage you can click the Edit Button after selecting the Right item. This action will open another window with that information. Make the necessary changes and go back by clicking "Finish"

10. Click the Ship All button if you want to make the Received Qty = Ordered Quantity

11. If you want to change the Batch Number for a Batch Controlled Item: Select the Item and click on the "Batch" button. This will open a lookup of all the available batches for that item ordered by Expiration Date showing the on hand quantities. Select the right batch and click the "Select" button
 

      

12. Click the "Whs" button to open a list of all available warehouses in the company and select the one where you want this merchandise received. After you clck the "Select" button you get another form will all the available batches in that warehouse. Select the right one and click the "Select" button again. You can also access the Bin Lookup directly by clicking in the "Bin" button.

13. Click on the GL button if you want to select a different sales account to a given item. When the GL Account search form opens you can search for an specific account by entering the full or partial account number.

     

14 Click the "Hist" button to see a lookup of all the items this customer has purchased from you in the past

15. Click on the "Wht" button after having selected a "Catch Weight" Item to enter all the weights

16. When the Weight Distribution form opens you can enter individual weights in the weight box and click the add button. You can delete elements from the list by clicking on the weight and the "Delete" button. The "Clear" button will delete all weights in the form to start over. When you enter a weight outside the range (Min-Max) the system will give you a warning.

       

17. You can also enter the total weight figure directly and  click save to continue. Either way before displaying the receiving form again the system will show you the weight distribution that you enetered for the selected item.

18. Click the Packing button to enter the number and types of cases in this order

19. Click the "Error log" button to enter the number of errors and types of the picker that will be reflected in the Picker Productivity Report.

        

20. Click on the Customer, Shipping and Terms tab to see the information entered when the ordered was entered. However the user won't be able to change any of this

          

21. Click the Totals Tab to see the totals for this receiving after the Quantities/prices have been modified. In addition to this, the user can enter additional freight and apply a discount to the total of the sale.

22. The "Misc" tab will allow you to enter notes to the Order (optional)

23. When you are done Click on the "Ship" button to create an invoice based on the Shipped Quantities.

     

Receiving

24. To receive merchandise, you need to go to the main menu, select the Receiving option and press "Go"

25. The first screen that opens allow you to select a number of days (up to 31) to search for open receiving. When you do that and press the "Search" button the Grid below will show a list of all receiving that meet that criteria.

26. Select one of the transactions in the grid and click the "Edit" button.

27. After a Receiving transaction is open the list of all the Items is displayed.

       

28. You can enter the received quantity in the "Qty" text box and press enter to go to the next line item

29. The "Rec All" button will make all Received Qty = Ordered Qty

30. The "UOM" Button will show you all available Units of Measures for the selected item. When the form opens, just select the right unit of measure and press the "Select" button.

31. The "Wht" button will allow you to enter all the weights for the items that will be received. You can enter one weight at a time and press the "Add" button or you can enter the total weight at the lower right. In addition to this, this form allows you to start over by pressing the "Clear" button. Conversions from Kilos to Pounds or vices versa are also available.

      

32. If you entered a weight that is outside the range of Min-Max the system will give you a warning

33. When you are finished entering the weights just click the save button. This will check that all weights have been entered and you will be taken to the prior screen.

34. The "Wht Dist" button will fill all the weight information for all "catch weight items" that are "standard weight" (constant weight, see item setup in help). This saves the time of having to go through all catch weight items entering weights for all of them.

35. The "Bin" button will allow you to select a different bin for a selected item. The warehouse selection is done in the purchase order and the receiving does not allow you to change it.

    

36. The "Batch" button will show you a lookup of all available batches when a "Batch Controlled" item is selected. You need to select the right one from the list (they are ordered by exp date descending) and click select.

37. Clicking on the "Terms" tab allows you to change the payment terms, Payment Method, SHip Method, Order by and Warehouse. All of these items are filled in the Purchase Order and all other available choices are contained in the dropdown boxes.

38. You can also change the Date and Req Date of the receiving and the Due Date will self adjust based in the payment terms selected.

39. The vendor tab shows the main information of the vendor. However, the vendor information cannot be changed in the receiving.

    

40. The Remit To tab shows more information about the vendor and its content cannot be changed as well

41. The "Totals" tab will show you the total amount due for the selected receiving. Users will have a chance of entering discounts and/or miscellaneous charges as a percentage of the subtotal. In addition to this, you can also add extra freight to this transaction.

42. The Misc tab allows you to change the "Vendor Invoice #" and the " Confirmation #." In addition to this, you can enter a Batch # and and Expiration date that will apply to all items in the receiving (click the "Set" button to do that"). Moreover, you can flag a receiving as Trouble by checking the appropriate check box entering a reason for that. The user can enter notes to the receiving)optional).

     

43. Click the "Update" button to save your changes to the database. This is not going to change any of the item on hand/weight information.

44. The "Refresh" Button will bring a copy of the receiving that is in the main database. This will eliminate any changes you already did to this transaction if you haven't updated yet.

45. The "Delete" button will delete this receiving record. This action ask you for a confirmation.

46. The "Updt Inv" button will make your changes to this receiving final. This action will increase the On Hand/Weight information for all the received Items. However, the cost information is not updated here and it requires a user to open the software and post the transaction

     

Inventory Adjustment

47. To receive merchandise, you need to go to the main menu, select the "Physical" option and press "Go"

48. The first screen that opens is the Menu tab. This screen allows you to search for transaction for the last 31 days

49. Open the "Days Back" dropdown and select a number of days back. Click the Search button and the grid below will show you a list of all Inventory Adjustment (Physical) transactions.

50. Select One transaction and click "Edit." This will take you into the "Items" Tab and all the items from that transaction will be reflected in there

    

51. In this form you can scan the item you are looking for or enter its UPC/Item Id/Product Id number in the "UPC" box and hot enter. The item will be searched and the cursor will position in that line for you to enter the Qty.

52. The "Wht" button will allow you to enter all the weights for catch weight items in this form. You can enter one weight at a time and press the "Add" button or you can enter the total weight at the. In addition to this, this form allows you to start over by pressing the "Clear" button. Conversions from Kilos to Pounds or vices versa are also available.

54. When you are finished entering the weights just click the save button. This will check that all weights have been entered and you will be taken to the prior screen.

55. The "Wht Dist" button will fill all the weight information for all "catch weight items" that are "standard weight" (constant weight, see item setup in help). This saves the time of having to go through all catch weight items entering weights for all of them.

56. Click on the "Terms" tab. This will allow you to change the date for the Physical transaction as well as the warehouse. You can also enter or change the notes for this.

57 Click the Update button when you have finished editing the Physical transaction. This will only save your changes and it won't post anything to the General Ledger or affect the Item Qty/Cost information.

44. The "Refresh" Button will bring a copy of the transaction that is in the main database. This will eliminate any changes you already did to this transaction if you haven't updated it yet.
